How LIWLIG ran LF Fastighetsförmedling's anniversary cruise with Ventla. When LF Fastighetsförmedling turned 20, they marked it by taking all their employees from Stockholm to Tallinn aboard M/S Birka Gotland. Three days, parallel programme tracks, individually chosen activities, and all logistics in one app.

The situation

LF Fastighetsförmedling's anniversary trip 'Twentyland' was built around the idea that a 20th anniversary should feel like something the company had earned. Two nights on the Baltic Sea. A full day at Põhjala Tehas in Tallinn. A gala dinner with an awards ceremony. A live performance by Medina. Seminars on sales, leadership, and mindset running in parallel throughout the trip.

LIWLIG's task was to ensure the experience held together for every person, each of whom had made different choices about how to spend their time.

The challenge

The programme was genuinely complex. Participants chose their own activities across several time slots: sessions on board, brewery and coffee tastings at Põhjala Tehas, DISC workshops, coaching sessions, exercise and yoga on the terrace. Add to that two return bus transfers between the ship and the venue, a spa booking flow, and a gala dinner with awards on the second evening.

Managing all of this via email and spreadsheets would have meant thousands of individual messages, constant questions about timings, and a production team spending their energy on administration instead of the event.

LIWLIG needed:

  • Each participant to know exactly where they needed to be and when, based on their own choices
  • A single place where all practical information was gathered: transfer times, check-in, cabin key, dress code
  • The ability to reach the right groups directly when something changed
  • A way to keep energy and community alive across three days at sea

How they used Ventla

Ventla was the only platform used throughout the entire trip: before boarding, during the journey, and after returning home.

Most activities had limited spots, so first-come-first-served applied for bookings in the app. On their personal page, each participant could see their cabin allocation, booked activities, and what was coming next.

Terminal instructions, spa pre-booking, bus times: everything was in the app. The questions that would otherwise reach a production team dozens of times a day simply didn't come in.

Photos and posts published during the trip kept energy alive between programme points. Participants could follow the event as it unfolded, creating a sense of being part of something bigger than their own schedule.

When situations arose, LIWLIG reached the right people immediately via direct messages and push notifications. On an event where buses leave on time regardless, that directness was critical. The app also functioned reliably during periods without mobile coverage on the Baltic Sea, something the team hadn't taken for granted but which felt reassuring.

The result

For LIWLIG, a production of this complexity was manageable because the information infrastructure held. The team could put their energy into what genuinely requires human presence (the room, the atmosphere, the moments) instead of the questions the app had already answered.

For LF Fastighetsförmedling, the trip became what a 20th anniversary should be: a shared experience that sticks, not a logistics project to survive.
